Job Description:

• Greet clients warmly as they enter the clinic or contact us by phone, social media or email. Make them feel comfortable and valued from the start.
• Respond promptly to client inquiries and provide accurate information about our services, appointment availability, and pricing.
• Assist clients in scheduling appointments that fit their needs and preferences. Coordinate with Front Desk Officer Schedules to find suitable times.
• Listen attentively to clients' concerns or complaints and work to resolve them promptly and effectively. If necessary, escalate issues to the appropriate Supervisor or Branch Manager.
• Educate existing & new clients about our health and wellness services, including treatments, procedures, and any special offers or promotions.
• Recognize clients' birthdays with personalized messages or offers, fostering a sense of appreciation and connection.
• Keep clients informed about special offers, promotions, and discounts through various channels, such as social media, email, phone calls, or SMS.
• Maintain accurate and up-to-date records of client queries, personal details, preferences, and interactions in our database system.
• Support clinic staff with various administrative tasks, such as filing paperwork, organizing files, and ensuring the reception area is tidy.
• Contribute to a friendly and welcoming atmosphere in the clinic. Help create a positive experience for every client, promoting their overall well-being.

Job Specification:

• Excellent communication skills, both verbal and written.
• Strong interpersonal skills and a friendly, approachable demeanor.
• Ability to multitask and prioritize responsibilities effectively.
• Proficiency in using computer software for scheduling and record-keeping.
• Empathy and patience in dealing with clients' concerns or complaints.
• Knowledge or interest in health and wellness is a plus, but not required.
