Job Description

Administrative Support:

  • Manage the ED's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle confidential information with discretion and professionalism.

 

Meeting Coordination:

  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure meeting materials are prepared and distributed in a timely manner.

 

Communication:

  • Act as the point of contact between the ED and internal/external stakeholders.
  • Screen and prioritize incoming communications (emails, phone calls, etc.) and respond on behalf of the ED when appropriate.
  • Draft and proofread communications, ensuring clarity and accuracy.

 

Project Management:

  • Assist in the planning and execution of special projects and initiatives led by the ED.
  • Monitor project timelines and deliverables, ensuring timely completion.

 

Hospitality Sector Specific:

  • Utilize industry knowledge to assist the ED in strategic planning and decision-making.
  • Coordinate with various departments (e.g., sales, marketing, operations) to align activities with the ED’s goals.
  • Maintain awareness of industry trends, competitive landscape, and regulatory requirements.

 

Travel and Event Planning:

  • Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
  • Plan and coordinate company events, conferences, and executive off-sites.

 

Office Management:

  • Oversee the organization and maintenance of the executive office.
  • Ensure office supplies are stocked and equipment is functioning properly.
  • Handle expense reports and financial documents related to the executive office.

 

Relationship Management:

  • Build and maintain strong relationships with key stakeholders, including board members, clients, and partners.
  • Facilitate effective communication and collaboration within the executive team.
