Major Roles And Responsibilities (Job Details);
Key Responsibility Area (KRA):
Responsibilities include, but are not limited to the following:
- Managing Schedules and appointments of the Directors as suggested
- Update calendars and schedule meetings
- Assist Directors and other seniors in hierarchy with administrative duties
- Manage the building log of guests who is entering and exiting the building
- Greet all incoming guests and notify the proper employees of their arrival
- Answer, screen and forward incoming phone calls
- Maintaining the present file structure and filing documents in the appropriate location on a regular basis
- Maintaining attendance register and leaves of the staffs
- Receive, sort and distribute daily mail/deliveries
- Arrange for meetings, conference calls, interviews, etc. with lightings, video and audios tools, air and ventilations, food and beverage, etc.
- Arrange travel-bookings, flight tickets, local transport or office vehicles as required or requested by employees
- Ensure reception area is tidy and presentable, with all necessary stationery and material
- Provide basic and accurate information in-person and via phone/email
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing as requested
- Perform other general and administrative duties as required.
Report: Daily, Weekly & Monthly
Required Competencies:
- Proven work experience as a Receptionist, secretary or Administrative Assistant
- High degree of multi-tasking and time management capability
- Excellent written and verbal communication skills
- Proficiency in MS Office.
